Personal data we collect
We only collect relevant data to enable us to carry out the services you have requested from us. We
set out below the personal data that we collect and the reason why. We will only retain your
personal data for as long as it is necessary for the original purpose it was collected for, as required
by law or set out in any relevant contract we have with you.
Telephone enquiry
Should you call one of our sites or we call you in response to an enquiry. We will collect your name,
address, email address and telephone numbers. We will use this data to get in touch with you about
your enquiry. We will retain this data for 36 months after the last contact.
Site visit
We operate CCTV in all our sites to monitor our premises. Your image and vehicle registration
number may be captured and stored for up to 30 days.
Vehicle Purchase
If you decide to purchase a vehicle from us, we will collect your full name, address, contact number,
date of birth, driving licence details, payment details, details of the vehicle you are purchasing and if
applicable, details of the vehicle you will be part exchanging. Your details will not be used for
marketing purposes unless you provide consent for us to do so. We will send your details to the
vehicle manufacturer (for new vehicles), to DVLA to tax the vehicle, to warranty providers and to
service providers if you have purchased a service plan. Your personal information will be stored
within your deal file which will be retained for seven years.
Vehicle Finance
If you decide to take finance out on your vehicle purchase, we will require additional information
including previous names, marital and housing status, number of dependents, nationality, previous
address, occupation, employer, business address, bank details and details of monthly income and
outgoings. We will also require proof of address (i.e. utility bill) and proof of identity (i.e. Passport)
and any other relevant information. With your permission this information will be passed to our
selected finance partners. Your personal information will be stored within your deal file which will be
retained for seven years.
Insurance and similar products
If you decide to purchase GAP insurance, Tyre & Alloy insurance or Lifeshine we will require your
name, address, email address and telephone numbers. Your personal information will be passed
with your permission to the third parties who provide these services.
Sell your car
If you request a valuation for your current vehicle we will require your vehicle details including
registration number, condition and current mileage plus your name, email address and telephone
number. We will use this information to send you an indicative valuation for your vehicle. If you
decide not to sell us your vehicle we will delete your details three months after the expiry of the
valuation. If you do decide to sell your vehicle to us we will also require a copy of your driving licence
which we use as proof of identity.
Social Media
If you contact us via our Social Media platforms, we may request your name and contact
information. We will however only request this information through a private messaging service and
not through a method which is in the public domain. We will only use this information to respond to
the contact that you have made. We will remove your details three months after conclusion of the
contact.
Service booking
To make an online service or MOT booking or over the phone we require your name, contact
information and vehicle details. This information is required to organise your booking and confirm
the details with you by your preferred contact method.
If you have purchased a vehicle from us or have previously had your vehicle serviced at one of our
sites we will have stored your information along with your vehicles service and MOT due date. We
will send you service and MOT reminders as we believe it is in your Legitimate Interest to know
when these events occur. If you do not wish us to send these reminders to you please let us know
via the contact details at the bottom of this notice.
Test drive or Courtesy car
If you book a test drive or have a courtesy car from our service department we require a copy of
your driving licence. We will retain this in case of any speeding, parking or other motoring offence
occurring. We will pass your information onto our insurance company who provide daily insurance
services for our vehicles.
Parts or Accessories estimates
If you request an estimate for parts or accessories from us, we will require your name, address,
contact number and email address. We will use your information to prepare and send you an
estimate. If you do not purchase the items detailed on the estimate we will remove your data three
months after the expiry of the estimate.
Parts or Accessories purchase
If you purchase parts or accessories from us, we will require your name, address, contact number
and email address. Your details will not be used for marketing purposes unless you provide consent
for us to do so. We will use your information to invoice you for the items purchased and to arrange
delivery of the items to you.
Competitions
If you enter one of our competitions, we require your name, email address and contact telephone
number so that we can contact the winners. Competitions are subject to terms and conditions.
How we use your personal data
Where you have provided consent we use your personal data to keep you informed of event and
hospitality invitations, competitions and brand events as well as promotions. We will communicate
with you by email, text message, post or telephone as agreed by you.
We will use your personal data for communication with you where we believe that there is a
Legitimate Interest to do so. This includes vehicle safety recalls, service and MOT reminders and
communication covered in contracts between us.
We will also use your personal data to comply with any legal obligations we have.
Sharing data with third parties
We may share your personal data with third parties who provide you the services or products that
you have requested or signed up to. This includes vehicle manufacturers, finance companies,
insurance companies, warranty providers, service plan providers, compliance providers, DVLA and
card payment processors.
Surveys and research
If you buy a vehicle (or in some cases, enquire on a vehicle but do not proceed with a purchase) or
obtain a valuation on your vehicle, we will provide your contact details to JudgeService Research
Limited to enable them to contact you by email and/or telephone to obtain feedback. They will
provide details of any feedback to us. Any unsubscribe request to JudgeService will reflect
communications from them only.
How long we keep your personal data for
We will retain your personal data for as long as we need it to provide the products and services you
have signed up for. We may also keep it to comply with our legal obligations and to meet any
legitimate interests.
Where you have consented to receiving communication from us we will retain your personal data
until you remove your consent.
Where we have had no contact with you for a period of 18 months and do not have a current
contract we will remove your data for marketing purposes.
Your Rights
You have rights in connection with your personal data that, with effect from the 25th May 2018 will
include the following: to withdraw consent where you have given it, to be informed and have access
to your personal data, to correct or complete inaccurate data, and in certain circumstances to
restrict, request erasure, object to processing, or request portability of your personal data to
another organisation.
We try to ensure that we deliver the best levels of customer service. If you do need or want to get in
